Best Practices
Lithora is deliberately flexible. These are the conventions that, in practice, keep a team's workspace legible after month three.
1. One item, one owner
Lithora allows multiple assignees, but designate a single primary owner — the first avatar. Shared ownership is no ownership. If an item genuinely needs several people, that is a signal to break it into sub-items with an owner each.
2. Run cycles, not an infinite board
For engineering teams, work in two-week cycles with one stated goal. Pull in only what serves the goal and send everything else to the Backlog. A board that never empties stops carrying information. See Sprint Planner.
3. Put dates on anything you want to track
The Timeline view can only show what ships this quarter — and what is slipping — for work that carries dates. Give projects a start and end date and give committed items a due date. Undated work is invisible to every schedule question you will be asked.
4. Document decisions, not just outcomes
Use the project's docs for RFCs and decision records, and link the resulting work items back to them. Six months later the useful artefact is not what was built but why that option won.
5. Invite stakeholders as guests, not members
A client, an exec or a contractor who only needs to watch progress should be a Guest: read-only, enforced server-side, and never on the invoice. Save billable seats for the people actually doing the work. See Roles & Permissions.
6. Share a link instead of a screenshot
When someone outside the workspace asks “where is this at?”, publish the project at a public link with an expiry rather than pasting a screenshot that is wrong an hour later. The public view carries no member emails or internal ids, and you can revoke it the moment the conversation ends. See Guests & sharing.
7. Delete without ceremony
Deleting a work item or project is recoverable for 30 days, so stale work is not worth keeping “just in case”. Clear it out; if you were wrong, restore it from the Trash. See Trash & restore.
8. Archive finished projects
When a project is done, set its status to Archived. It leaves the day-to-day sidebar while the data stays intact and searchable — a different thing from deleting it.
